*Hybrid to Cedar Knolls NJ 3-5 days a week.

Position Summary:  As a Project Manager Coordination Manager at Kinly, you'll drive the efficient allocation of internal and subcontractor resources, ensuring optimal utilization while maintaining the highest standards of quality and service delivery. Your responsibilities will include overseeing subcontractor relationships, managing resource schedules, monitoring project costs, verifying subcontractor billing, and providing crucial insights through resource utilization and capacity planning reporting.

DUTIES AND RESPONSIBILITIES

Subcontractor Relationship Management

  • Cultivate and maintain strong relationships with subcontractors, ensuring alignment with Kinly's standards and values.
  • Evaluate subcontractor performance regularly, providing feedback and guidance as necessary.
  • Negotiate and finalize subcontractor agreements and scopes of work.
  • Ensure contractor alignment to Kinly performance standards and general rules of engagement.
  • Negotiate subcontractor rate cards to ensure a competitive market stance.
  • Serve as an escalation point for Project Managers on subcontractor performance issues.

Resource Scheduling

  • Collaborate closely with project managers and department heads to determine resource needs and availability.
  • Develop comprehensive resource schedules, considering both internal team members and subcontractors.
  • Ensure timely allocation of resources to projects, optimizing utilization and efficiency while maintaining a 6-week minimum look-ahead schedule.

Project Cost Reporting

  • Monitor and analyze project costs, providing regular reports to management and stakeholders.
  • Identify cost-saving opportunities and propose strategies to optimize resource utilization.
  • Work with finance teams to ensure accurate tracking and reporting of project expenses.

Resource Utilization and Capacity Planning Reporting

  • Develop and maintain reports on resource utilization, analyzing trends and recommending adjustments for optimal efficiency.
  • Conduct capacity planning reports to forecast resource needs and identify potential constraints or opportunities.
  • Collaborate with relevant stakeholders to optimize resource allocation based on utilization and capacity data.

Job requirements

Qualifications:

Education/Experience

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Proven experience (5 years) in resource management. A related role within a service delivery firm, particularly in the AV integration industry is a plus.
  • Strong understanding of project management principles and methodologies.
  • Experience in resource utilization reporting and capacity planning.
  • Excellent communication and negotiation skills.
  • Proficiency in using resource management software/tools and advanced knowledge of MS Excel or similar applications.
  • Ability to multitask, prioritize, and adapt in a fast-paced, dynamic work environment.
  • Detail-oriented with a focus on accuracy and quality.
