Job description

Role: Service Contracts Coordinator

Contract Type: Full-time, Permanent

Location: Livingston, Scotland (hybrid working, including Mondays and Fridays working from home and Tuesday-Thursday on-site)

Salary: Flexible, (dependent on experience), plus company benefits

Interview Process: 2 stage

Hours: Monday – Friday: 37.5 hours (9am – 5pm)

We now have anew opportunity for a proven coordinator / administrator to join our highly collaborative team in Livingston, to be responsible for a range of activities delivering excellent service to our existing customers.

 

Key responsibilities:

  • Send contract renewal documentation to internal Account Managers/Directors in accordance with renewal process and timelines

  • Work with Account Managers to secure recurring revenue orders and Purchase Order Numbers

  • Undertake database administration, creating new and amending existing records to maintain accurate and comprehensive records of client inventories and recurring revenue contract database

  • Gather information and undertake administration duties to underpin contracts covered by 3rd parties

  • Deal with service desk queries relating to active and expired contracts

  • Work with sales account managers on pending contract proposals

  • Liaise with manufacturers to gather information on support specifications, underpinning contracts and pricing

  • Develop a knowledge of the service portfolio of Kinly to understand entitlements sold to our clients

  • Process renewals to the finance department for invoicing and revenue recognition

  • Create purchase requests for support procured from third parties

Skills and experience:

The ideal candidate will have previous experience of working in a busy customer facing role, which requires the ability to work well under pressure and to complete tasks in a timely fashion

  • Proven experience working in a commercially-focused coordination / administration role

  • Good numerical skills

  • Strong attention to detail

  • Accomplished organisational skills and the ability to work under pressure

  • Good solid knowledge of Excel including basic functions as spreadsheets are used daily in this role

  • Working knowledge of an ERP system would be advantageous but not essential
