Role: People Team Administration Coordinator

Contract Type: Permanent

Location: Bangalore (on site and not remote) - must be based in Bangalore

Salary: 3-5 LAK maximum (depending on experience), plus company benefits


Role Overview:

The People Team Administration Coordinator is a newly created position that will work closely within our highly collaborative People team. Reporting to the Global People Director, the role will involve providing a wide range of administrative support to both the Global People Director & the wider People Team, across the APAC and UK regions.


There will be heavy focus on data handling, using the full Microsoft suite, our internal HR systems (which is currently HRIS), our company engagement platform, expense system & LMS.

The successful individual will work at pace and enjoy preparing reports & PowerPoint presentations.


Key responsibilities:

  • Provide administrative support to the Global People Director, People Business Partner & Global Services People Partner
  • Ensure all relevant databases hold current and evolving data
  • Support a clean-up of the current HR database and support in moving files onto SharePoint
  • Take ownership of ADP and system access and related tasks for all the employees within the UK Region, ensuring all data is accurate and up to date within the relevant systems
  • Give attention to ADP automated notifications and approval
  • Own and manage the RTW (Right to Work) Experian process
  • Undertake regular organisation chart audits/reviews, cross reference ADP to the Active Directory and where necessary liaise with department heads as to ensure that they are accurate
  • Ensure that the HRIS is kept up-to-date and employee records are accurate
  • Administer and update the SharePoint People site
  • Liaise with IT and other key stakeholders in the business, as to ensure that internal systems and processes are kept in step with the People changes
  • Create and run reports in ADP using Data Cloud
  • Co-ordinate employee training initiatives and accurately record of completed training programmes, as well as having a system in place for booking internal and highlighting when refresher sessions are required
  • Initiating CultureAmp onboarding surveys and administering the system
  • Offboarding leavers on the CultureAmp system

Job requirements

Skills and experience:

  • Proven experience working as a People Assistant and/or People / HR Administrator
  • Strong administration skills
  • High level of confidentiality and attention to detail
  • Organised and articulate
  • Excellent interpersonal skills and strong verbal and written communication skills
  • Proficient user of MS Word, Excel, Outlook, and PowerPoint; and working knowledge of a HRIS
  • Flexibility and a willingness to learn
