ROLE: Recruitment & HR Administrator
REPORTS TO: Global Head of Talent Acquisition
CONTRACT TYPE: Permanent
WORKING HOURS: 9.00 am – 5.30 pm (flexibility to work around your personal commitments but will include working different hours on occasions depending on time zone recruitment activity)
LOCATION: Bangalore, India (hybrid arrangement with at least 3 days on site per week)
INTERVIEW PROCESS: Initial telephone screen, followed by 1 x virtual interview & 1 face-to-face interview
Role Summary
To support with both the full recruitment life cycle for assigned vacancies across EMEA, APAC, and US, whilst being responsible for all aspects of the employee lifecycle for Kinly employees in India, Hong Kong and Singapore (APAC); including administration, imparting Kinly culture and ensuring all employees feel engaged and supported.
Duties and Responsibilities
Talent Acquisition
Ensure vacancies are successfully resourced utilising all relevant available tools and channels of attraction
Work with the business to understand current and future resourcing requirements and identify most effective channel of attraction while developing and maintaining a strong talent pipeline
Provide a full recruitment support service from job brief to securing candidate acceptance; including management of the candidate applicant tracking system (Recruitee); ensuring all activity is recorded and all administrative processes are completed effectively
Proactively source and identify candidates through various channels, including social media, networking, job boards, referrals, and direct outreach
Screen and assess candidates to determine their suitability for open and upcoming positions
Support with initial candidate interviews, either via telephone, face-to-face or through assessment events as and when required
Engage with potential candidates to build relationships and promote the employer brand
Establish and build effective internal networks and relationships with key stakeholders to ensure engagement and compliance to the recognised recruitment process
Support with the delivery of training on recruitment related matters to equip managers with appropriate skills / knowledge to recruit talent and onboard candidates
Involvement in project or campaign-based recruitment activity as and when required
Ensure a first-class candidate experience is delivered to all applicants
Assist with the onboarding activities of new starters as and when required
Help promote and drive Diversity, Equality and Inclusion initiatives across the regions
Human Resources Administration
Support line managers to onboard new starters
Facilitate the APAC Global Services new starter induction meetings
Handle all relevant APAC administration, i.e. maintaining employee files, creating employment contracts, creating changes and reference letters e.g., employment, tenancy, probation reviews, conduct exit interviews and ensure the appropriate systems are used
Regular review of tasks in the HR team inbox ensuring queries are responded to within SLAs
Handle and respond to HR queries from line managers and employees
Manage employee relations within the APAC region
Be a subject matter expert for the APAC region including culture, employment law and current affairs
Ensure the HRIS is kept up-to-date and employee records are accurate and in line with organisational changes
Maintain organisation charts on SharePoint monthly
Assist where required, the payroll administration through the relevant providers
Be a champion of diversity, equality and inclusion in the workplace for the APAC region
Work with the People team on any ad hoc projects and provide general administrative support
Skills Profile - Essential experience/skills
Proven experience operating within both a Recruitment and Human Resources position is essential
Possess the confidence to work with key business decision-makers and HR colleagues
Be able to challenge and influence key business decision-makers
Excellent communication and interpersonal skills; capable of building strong relationships with candidates and hiring managers – Strong English language is essential (written and oral)
High attention to detail with excellent administrative skills
Organised and capable of managing multiple recruitment campaigns simultaneously
Target-driven and fast-paced
Highly people orientated
