Role: PMO Support – Document Controller 

Contract Type: Full-time (37.5 hours/week) – Fixed Term Contract until end of January 2026 (possibility of the role becoming permanent)

Location: Livingston, Scotland

Salary: £26,000 – 28,000 pro rata (plus company benefits)

Interview Process: 2 stage (Virtual and Face-to-face)

Due to continued business growth and projects, we are now looking to recruit a new individual into our highly successful and collaborative Project Support team, initially on a 3-month FTC, with a possibility of the role becoming a more permanent position.

 

Working as the Document Controller for PMO, you will support the successful delivery of major projects by managing the preparation, collation, and formal submission of Technical Submissions (Tech Subs) during the early coordination phase. These submissions are a contractual requirement and must be submitted to the main contractor’s document repository (e.g. Project+, Conject, Procore) for review and approval prior to procurement.

 

This is a detail-oriented, admin-heavy role within a fast-paced project team, requiring excellent organisational skills, precision, and the ability to manage multiple deadlines. The role is critical to ensuring timely approval of Kinly’s technical documentation and maintaining compliance with project protocols.

 

Key responsibilities:

  • Prepare and compile Technical Submissions in line with Contract requirements

  • Coordinate with Project Managers, Engineers, and Vendors to gather required documentation

  • Submit Tech Subs via contractor platforms (e.g. Project+, Conject, Procore) for formal approval

  • Track submission status and follow up on outstanding approvals

  • Maintain accurate records of all submissions, revisions, and correspondence

  • Ensure version control and compliance with documentation standards

  • Support the PMO and wider project team with document-related queries and updates

Skills and experience:

  • Proven experience in document control or project administration, ideally within construction, AV, or technical project environments

  • Familiarity with JCT Contracts and technical documentation workflows

  • Experience using contractor platforms such as Project+, Conject, or Procore desired – training will be provided

  • High attention to detail and strong organisational skills

  • Ability to work under pressure and manage competing priorities

  • Proficient with Microsoft office applications including Outlook, Excel, Word, Teams
